How do I apply restrictions?

If there is an interview that contains sensitive information or data not relevant to a user or a group of users, then you can prevent them from seeing the interview data throughout TruVoice by using restrictions in Users & Groups. Restrictions can be applied from the Edit User or the Edit Group view.

Important Information About Restrictions:

  • Restricting an interview for a user or group means ALL data from that interview is hidden throughout the TruVoice modules. For example, data from the interview isn’t available in any of the Dashboard tiles or sub-pages.
  • When you apply a group restriction, members of the group are always restricted even if they have rights to the data on an individual level. This is different from group rights, where user level rights override group rights. Click here to learn more about user rights.

User Restrictions

This section will show you how to apply restrictions to an individual user.

 

  1. Select Administration.
  2. Select Users & Groups.

 

  1. Click on the name of the user you want to apply restrictions to.
  2. Select Edit User from the User Card.

 

  1. Select the Restrictions tab.

 

  1. Select All from the toggle to see a list of all interviews for all programs.
    • When Restricted is selected, the list of restricted interviews is shown.
    • When All is selected, all interviews for all programs for the client are shown.

 

  1. Locate the interview(s) you want to restrict and click the checkbox.
    • To ensure you restrict the appropriate interview for the correct program use column filters to narrow down the list.

 

  1. Click Save. The interview(s) you selected are added to the Restricted list and the count on the Restrictions tab increases.

 

  1. To remove a restriction on an interview, select Restricted from the toggle.
  2. Deselect the checkbox for the interviews you want to remove restrictions for.

 

  1. Click Save. When the box is deselected, the count in the count on the Restrictions tab decreases.

 

Group Restrictions

This section will show you how to apply restrictions to a Group.

 

  1. Select Administration.
  2. Select Users & Groups.

 

  1. Select the Groups tab.

 

  1. Click on the name of the group you want to apply restrictions to.
  2. Select Edit Group from the Group Card.

 

  1. Select the Restrictions tab.

 

  1. Select All from the toggle to see a list of all interviews for all programs.
    • When Restricted is selected, the list of restricted interviews is shown.
    • When All is selected, all interviews for all programs for the client are shown.

 

  1. Locate the interview(s) you want to restrict and click the checkbox.
    • To ensure you restrict the appropriate interview for the correct program use column filters to narrow down the list.

 

  1. Click Save. The interview(s) you selected are added to the Restricted list and the count on the Restrictions tab increases.
